How to Create Event Packages That Win Corporate Clients

Corporate event planners are drowning in options. The venues that make their decision easy are the ones that win the booking.

A corporate event planner searching for a venue does not want to spend hours piecing together room hire, catering quotes, AV costs, and accommodation rates from separate departments. They want a clear, compelling package that tells them exactly what they get and what it costs. The venues that understand this win more business.

Why Packages Beat Bespoke Quotes

Many venues pride themselves on creating bespoke quotes for every enquiry. While flexibility is important, the reality is that bespoke quotes slow down the sales process, create inconsistency in pricing, and make it harder for clients to compare you against competitors.

Well-designed packages give clients clarity and confidence. They can see exactly what is included, compare options quickly, and make faster decisions. You can always offer add-ons and customisation on top of a core package.

The Four Packages Every Venue Needs

1. The Day Conference Package

This is your bread and butter. Include room hire, standard AV (projector, screen, microphone), Wi-Fi, arrival tea and coffee, mid-morning break, working lunch, and afternoon break. Price per delegate per day. This should be your most competitive offering - it is the gateway to bigger bookings.

2. The Residential Conference Package

Everything in the day package plus overnight accommodation, dinner, and breakfast. This is where hotels have a massive advantage over standalone conference centres. Price per delegate for 24 hours. Include early check-in and late checkout options to make it genuinely convenient.

3. The Executive Away Day

Smaller groups, higher spend per head. Think boardroom-style meeting room, premium catering, breakout spaces, and perhaps an activity or team-building element. This package targets senior leadership teams and should feel exclusive and premium. Price as a flat rate for groups of up to 15-20.

4. The Client Entertainment Package

Private dining, drinks reception, and a memorable experience. Corporate hospitality is a huge market - companies spend significant budgets entertaining clients, rewarding teams, and celebrating milestones. Create packages around your unique selling points: your restaurant, your grounds, your location.

Pricing That Wins

Corporate event planners compare venues on total cost, not line items. An all-inclusive per-delegate price is easier to budget, easier to get approved internally, and easier to compare. Avoid the temptation to nickel-and-dime with charges for Wi-Fi, screen hire, or flip charts - these frustrate corporate clients and make you look dated. Consider tiered pricing: a standard package, a premium package with enhanced catering and AV, and a bespoke option for larger events. This gives clients choice without overwhelming them.

Present Your Packages Professionally

Your event packages should be beautifully presented - both on your website and in PDF format for email. Include professional photography of your spaces set up for events (not empty rooms), clear inclusions lists, capacity information, and a simple enquiry process. Make it as easy as possible for a corporate planner to say yes.
